A transaction coordinator can save a real estate broker or sales agent hours per month. And that time can be used to help you find more buyers.

Transaction coordinators manage the paperwork, scheduling, and time-consuming communications involved in closing real estate sales.

In this article, we’ll explore how a transaction coordinator can help you find more buyers.

Let’s get down to business, shall we?

How a Transaction Coordinator Can Help You Find More Buyers

While a transaction coordinator’s primary task is managing and closing real estate sales, there will be times when sales are slow, or there isn’t a transaction to work on.

In these circumstances, a transaction coordinator can help with various marketing tasks, thus helping you find more buyers.

Let’s examine the role of a transaction coordinator, and the marketing functions a TC can assist with when not closing sales.

1. The Primary Role of a Transaction Coordinator

The main task of a real estate transaction coordinator is to manage all aspects of real estate closings, including the following:

  • Communicating with the mortgage lender
  • Contract facilitation and signing
  • Scheduling home inspectors and sharing the inspection report
  • Ordering title work and updating title company personnel
  • Updating the agent on the other side of the deal
  • Answering client questions and keeping them informed through the process

For even more detailed information, read what does a transaction coordinator do.

However, there’s no reason a TC cannot assist you with marketing when they are not managing and closing sales.

2. Various Marketing Tasks a Transaction Coordinator Can Perform

Using a transaction coordinator when sales are slow to help market your listings and real estate business can help you find more buyers and boost your overall business.

For example, consider just a few of the marketing tasks a TC can perform:

  • Prepare and send mailers to target neighborhoods
  • Write emails and notecards to your sphere of influence
  • Create social media content and post blogs
  • Help manage your CRM program
  • And analyze SEO data while monitoring marketing analytics

The above marketing tasks can help your business find new buyers and other client leads.

And speaking of lead generation, a TC can assist with those tasks, too.

3. Using a Transaction Coordinator to Assist With Lead Generation

Using a Transaction Coordinator to Assist With Lead Generation

Most transaction coordinators are talented professionals, and there is no reason why a TC can’t help with lead generation during slow times.

You can use a TC to help with the following lead-generation activities:

  • Follow-up phone calls to help qualify potential buyer and seller leads
  • Prospecting calls to area homeowners who might be thinking of selling
  • Creating customer question forms to help target new leads
  • Researching neighborhoods for their lead potential
  • Collecting lead contact information from your other marketing efforts

Lead generation and qualifying help keep your sales pipeline full of potential new business.

Imagine if your transaction coordinator could help you find 1-2 new buyers every month. Even just one new buyer a month more than covers the costs of your TC.

In all their tasks, a TC gives you more time to focus on revenue-generating work and business growth efforts.

Let me share how I used the time I saved working with a transaction coordinator to find more buyers.

How I Spent the Time I Saved With a Transaction Coordinator

How I Spent the Time I Saved With a Transaction Coordinator

Here’s what I did with the hours I saved working with a real estate transaction coordinator.

I made the most of those hours to expand my business and find more buyers. Let me share the details.

1. I Focused on Specific Client Services

By partnering with a virtual transaction coordinator, I freed up valuable time to create personalized market reports for past clients.

These reports included detailed home valuations, neighborhood trends, and market forecasts. I also included the latest information on mortgages and interest rates.

I prepared 8 client reports in total. The information I provided motivated 2 of my former clients to contact me, saying they were ready to find a new house.

2. Personal Meetings With Potential Clients

I also took some of the hours I saved and scheduled lunches and coffee with previous and potential clients.

In-person meetings can be highly effective ways to help answer client questions.

Over the course of two months, I met with 18 clients for lunch, coffee, or an after-work drink.  These meetings fostered stronger relationships and resulted in 2 new buyers and 3 new referrals.

3. Following Up With Promising Leads

I surveyed my list of leads and selected 7 that looked most promising. Based on the information I had collected, I researched neighborhoods and properties that these leads seemed interested in.

Then, I called each lead and had a detailed conversation, during which I shared my information and offered advice. Each conversation lasted more than a half-hour, allowing me time to help them understand the current market.

Those conversations paid off. Two people I spoke with scheduled showings with me the week after we spoke.

None of these sales has closed yet. However, the commissions from these deals will help cover the cost of my TC. I’m even considering hiring a real estate assistant to enhance my marketing efforts further.

These positive results probably raise the question of where you can find a high-quality, affordable real estate TC. Let me share my preferred source with you.
