Closing a real estate transaction requires many steps, from ensuring the mortgage process stays on track to title work and inspections to ensuring all the contracts are fulfilled.

A few days ago, we spoke with Claire Diane Oyanib about her real estate transaction coordinator career. Here are the highlights of our conversation.
1. Please share how you became a real estate transaction coordinator.
I’ve always had strong organizational skills and keen attention to detail. I enjoy bringing order to a process or business situation.
When I was at college, I did well in communication and project management courses. Also, I enjoyed my classes in accounting. I’m naturally drawn toward details and organizing them.
These skills and likes attracted me toward real estate transaction coordination as a career.
Before coming to AgentUp, I worked as a compliance specialist for a large, US-based real estate company. The experience was wonderful, and I learned a lot about the US market and the transaction process.
At AgentUp, I’ve received even more extensive real estate transaction coordination training. This position has helped me develop outstanding document management and customer service skills.
I love helping brokerages and agents coordinate and close real estate sales.
2. What is a typical workday for you as a real estate transaction coordinator?
My usual workday as a real estate transaction coordinator is packed with various tasks and things to do.
I begin each day by reviewing my emails and answering urgent messages from clients or other team members. Once I’ve done this, I list my daily priorities.
A good part of my job involves communication. I email agents and their clients regular updates. I also reach out to share documents and request signatures.
Scheduling is another crucial aspect of my daily routine. I schedule and track home inspections, property surveys, client meetings, and, of course, closings.
Keeping multiple transactions on track depends on my organizational skills and understanding of the real estate sector. I look forward to this daily challenge each morning.

3. What have you come to appreciate about the US real estate industry?
What I value most about the US real estate market is its energy. There’s always a new deal or sale to organize and close.
The US market’s diversity is also impressive—I’m involved in sales of houses, vacant land, and commercial property—every day, there’s something new.
I’m also amazed at the amount of wealth exchanged every week. I find it exciting to be part of the sale of a million-dollar property or an incredibly beautiful house.
I also appreciate the people I work with every day. The agents, the clients, and the other professionals are so friendly and excited about their sales.
Lastly, I appreciate how the US real estate industry embraces new technology. Many new marketing tools exist, such as virtual tours and virtual staging. And new communication platforms keep emerging making it easy to talk to people across time zones and oceans.
These developments help me in my role as a real estate transaction coordinator. Sometimes, I feel like my American clients are so close that it’s like having them in person in my office.

4. What do you enjoy most about your career?
As a virtual real estate transaction coordinator, I thoroughly enjoy the flexibility and autonomy of my career.
Because I work remotely, I can effectively manage my schedule and prioritize assignments. Not having to worry about daily commuting is also a huge bonus. It gives me more time to focus on meeting my client’s needs.
The flexibility and technology allow me to fulfill deadlines and surpass expectations while still maintaining a healthy work-life balance. It’s really great.

5. As a transaction coordinator, what is the most significant value you bring to a real estate agent?
Probably, the most significant benefit I provide sales agents and brokers is time savings. Once they turn the transaction over, I take care of the rest of the details, saving them hours of work.
I also add value through my communication skills. During a transaction, I get the opportunity to talk with every participant of the sale. I possess strong interpersonal skills that allow me to understand their needs and preferences, ultimately helping them get the information they need or to achieve their goals.
Additionally, I add value by ensuring accuracy and compliance. I guarantee every step is followed and all the paperwork is signed and in place.

6. What makes you a great real estate transaction coordinator?
My attention to detail makes me stand out as an effective real estate transaction coordinator. I’m also good at multitasking.
I ensure that every aspect of every transaction is precisely addressed and adequately handled. I also organize all the documents with great care.
My experience in the real estate industry helps me understand what’s needed for every transaction and to ensure accuracy.
Finally, I’m a people person; I enjoy communicating with clients and providing excellent customer support and service.
